In this key supporting role, you will be responsible for coordinating office operations, managing administrative processes, and assisting teams in Medical, Marketing, and Sales. You'll ensure smooth day-to-day functioning, efficient communication, and seamless execution of activities across departments.

Key Responsibilities

Events, Meetings & Administrative Support

* Provide daily administrative and organizational support to the Medical, Marketing, and Sales teams (including Field Force).
* Coordinate events, congresses, and meetings, managing contracting and logistics with external partners.
* Handle travel and hospitality arrangements in collaboration with the travel agency for both national and international events.
* Organize internal meetings and events (e.g. training sessions, team gatherings, leadership meetings), preparing agendas, reports, and presentations.
* Act as a local support administrator for the
Veeva CRM
tool and other internal systems.
* Work closely with the Office Manager in the Netherlands to align procedures and ensure a consistent Benelux approach.

Office Management & Administration

* Serve as first point of contact for external partners (landlord, IT, cleaning services, etc.) and manage general communications (mailbox, website, IT requests).
* Oversee contract routing, filing, and archiving in line with internal SOPs.
* Support HR with onboarding and offboarding activities.
* Assist the Finance, Pharmaceutical Affairs, and Compliance teams with administrative and invoicing tasks, product logistics, and transparency reporting.
* Manage office supplies, orders, and mail handling (incoming/outgoing).

Required Education & Experience

* Bachelor's degree or equivalent.
* Native proficiency in
Dutch or French
, with an advanced level of the other official language, and fluent
English
(spoken and written).
* Advanced skills in
Microsoft Office (Word, Excel, Outlook, PowerPoint, OneNote, Teams)
and experience with
Veeva CRM
or similar corporate systems.
* Minimum
5 years of experience
as an assistant supporting multiple stakeholders, ideally in a
corporate or multinational environment
.
