My client is looking for a highly organized and proactive Administrative Assistant to support several senior leaders within their Finance department. In this role, you will ensure the smooth execution of a wide range of administrative tasks, contributing to the efficiency and effectiveness of the team. Your responsibilities will require discretion, attention to detail, and the ability to manage multiple priorities in a dynamic, fast-paced environment.
Key Responsibilities
* Prepare and format documents and materials for meetings
* Draft and edit various written communications
* Process administrative requests and follow up on approvals
* Coordinate complex agendas, manage multiple calendars, and schedule meetings across various time zones
* Collaborate with the Recruitment team to organize interviews and related logistics
* Track documents and deadlines for review processes
* Maintain and organize physical and digital files
* Help plan and organize internal events and meetings
* Support ad hoc projects and team initiatives
* Assist with general office operations and supplies
* Bachelor's degree
* Between 3 and 5 years of experiences in a similair administrative or executive assistant role
* Excellent command of English and french (written and spoken)
* Proficiency with MS Office and other standard administrative tools
* Highly proactive and resourceful
* Excellent organizational and multitasking abilities
* Strong attention to detail and a commitment to accuracy
* Dependable, trustworthy, and discreet, with the ability to maintain confidentiality
* High level of discretion and professionalism
* Comfortable working in an international and multicultural environment
