Looking for a new exciting challenge in a a Law Firm in Paris? We have a job for you!Excel Careers/Excel Interim is a Recruitment Consultancy specialized in administrative support profiles such as Receptionists, Management Assistants, Executive/Personal Assistants, HR Assistants, Sales and Marketing Assistants, Office Managers, Customer Service, Digital Marketing Officers, etc. We work with companies in a variety of sectors and offer both permanent and temporary contracts.We are seeking a proactive and experienced Legal Assistant to work for one of our clients, a Law Firm in Paris. You would provide high-level administrative and operational support to the partners in the Paris office, including those visiting from other international locations. The role plays a key part in ensuring the seamless day-to-day functioning of the legal practice.

Key Responsibilities:

1. Manage the end-to-end billing cycle, ensuring timely processing of monthly invoices.
2. Support partners and associates in managing financial performance, monitoring file balances, and maintaining accurate financial reporting.
3. Assist with client relationship management, including CRM data entry and business development activities.
4. Coordinate the preparation and submission of client tenders and proposals, liaising with relevant internal and external stakeholders.
5. Oversee document management and compliance processes, including conflict checks and client due diligence.
6. Handle file openings, rate applications, engagement letters, and matter specifications.
7. Identify files ready for closure, reconcile balances, and oversee archiving of completed matters.
8. Manage inboxes, diaries, travel, and meeting arrangements for lawyers, anticipating needs and resolving scheduling conflicts.
9. Prepare meeting materials, itineraries, and travel documentation with precision and attention to detail.
10. Coordinate document production, formatting, and presentation materials for client use.
11. Provide administrative support across office operations—reprographics, mail handling, visitor reception, IT coordination, and event organization.
12. Ensure adherence to firm policies on risk, compliance, and quality assurance.
13. Complete mandatory internal training and contribute to the firm’s culture of continuous improvement.
14. Provide backup support to other assistants when required.

Skills and Experience:

15. Strong organizational skills, self-motivation, and the ability to take initiative.
16. Minimum of three years’ experience in a legal support role within an international or comparable professional services environment.
17. Excellent written and verbal communication in both French and English.
18. Exceptional attention to detail and the ability to prioritize in a fast-paced environment.
19. Strong interpersonal skills, with the ability to build productive working relationships and influence effectively.
20. Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, and Word); familiarity with Chrome River, 3E, and Intapp is an advantage.
