Poppy Lease is a service line of Poppy Mobility NV, dedicated to developing a flexible car subscription model for D'Ieteren on the Belgian market. The model is built around monthly, automatically renewed contracts, a fully digital onboarding experience, and a transparent, customer-centric offering.
About the Role
The Operations Associate plays a pivotal role in the daily execution and scaling of Poppy Lease. This is a hybrid, hands-on position combining field operations, process optimization, and customer interaction. The role is critical to ensuring operational excellence, fleet availability, and a consistently high-quality customer experience.
Given the early-stage and fast-evolving nature of Poppy Lease, this role requires a highly structured and well-organized individual capable of bringing clarity, discipline, and reliability to daily operations while handling a wide variety of tasks.
You will work closely with the Operations Manager of Poppy Lease and contribute directly to the development and structuring of the service.
Key Responsibilities
Operational Execution & Fleet Management
* Manage day-to-day operational activities related to the Poppy Lease fleet
* Ensure vehicles are always up to date, compliant, and ready for rental
* Oversee fleet rotation and rolling to optimize utilization
* Perform vehicle check-ins and check-outs with customers
* Coordinate cleaning, maintenance, repairs, and logistics
Customer Operations
* Act as a key point of contact for customers during onboarding, vehicle handover, and returns
* Handle complex customer inquiries, incidents, or complaints with a structured and solution-oriented approach
* Invoice damages and ensure accurate operational follow-up
Process Structuring & Optimization
* Bring structure to operational workflows and daily routines
* Identify inefficiencies and implement continuous improvements to increase efficiency and scalability
* Create, document, and maintain clear operational procedures and checklists
* Ensure consistency and reliability in execution across all operational activities
Administrative & Operational Support
* Maintain accurate operational records and reporting
* Ensure data, documentation, and follow-up actions are properly tracked and up to date
