We are looking for an Executive Assistant - Sustainability & Corporate Affairs who is proactive, organized, and collaborative to join our team, based at our HQ office, in Brussels, Belgium.
About the role
You will be working in a team that supports the Global Head of Sustainability & Corporate Affairs. You will ensure seamless team operations by managing schedules, meetings, travel, budgets, and internal communication, fostering efficiency and collaboration.
Who you’ll work with
You will be working in a dynamic, international team that collaborates closely with senior leaders, assistants, and stakeholders across multiple locations to drive engagement and deliver impactful results.
What you’ll do
1. Manage complex calendars and proactively organize meetings and appointments.
· Coordinate domestic and international travel, including bookings, visas, and accommodations.
· Handle correspondence, prioritize requests, and act as liaison between internal and external stakeholders.
· Support budget monitoring, create purchase orders, manage invoices, and prepare expense reports.
· Organize team events, meetings, and celebrations to foster team spirit and collaboration.
· Support onboarding of new team members and engage actively with the assistant network.

2. Bachelor’s degree and a minimum of 5 years’ experience as an Executive Assistant supporting senior management.
· Fluent in written and spoken English and French.
· Strong organizational and time management skills, with attention to detail and ability to multitask effectively.
· Excellent verbal and written communication skills, with a proactive and solution-driven mindset.
· Proficiency in Microsoft Office (PowerPoint, Excel, Word) and adaptability to new digital tools.
· Ability to work under pressure, manage diverse projects, and meet tight deadlines with a positive attitude.
