Your Role: What You’ll Do As an Event Specialist, you will: Event Planning & Coordination Plan preparation tasks and logistical services for events Handle l ogistical services for small and medium-size event projects from A to Z Manage event duties and deliver logistic services during in-person events Day-to-day supervision of project tasks – management of several event projects in parallel Regular contact with clients ( mainly the EU Institutions) Vendor & Stakeholder Communication Sourcing of and c oordination with service providers and suppliers, setup of vendors and creation of POs Coordination with internal communication management, creative and production teams involved in event projects Registration & Travel Management Set up and day-to-day management of r egistration services (CVENT, B2Match, Swoogo ) and knowledge/management of online registration tools and platforms Management of travel and accommodation services Online & Hybrid Event Delivery Management of t echnical tests, briefings, rehearsals and show calling during online or hybrid events Delivery of online events by setting up and managing online event tools like Sli.do, Zoom, Webex, Interactio, MS Teams What we’re looking for 2–3 years of proven experience in event organisation and management within a communication-focused environment, ideally involving EU Institutions A passion for creating and delivering first-class events and an interest in institutional communication Solid organisational and planning abilities, with a proactive and structured approach to multitasking Excellent communication skills and a collaborative, team-oriented attitude Meticulous attention to detail and a commitment to delivering high-quality services Client-oriented mindset, demonstrating responsiveness, professionalism, and service excellence Proficiency in online registration and badging platforms, such as CVENT, SWOOGO, and B2Match as well as of virtual event tools and engagement platforms, such as Zoom, Webex, Interactio, MS Teams, and Sli.do is a plus Commitment to organising events that are cost-efficient, innovative, inclusive, gender-balanced, and environmentally sustainable Strong written and verbal communication skills in English and French or Dutch ( additional languages like German or Spanish are a plus).
