About the Job: Keysight, a leader in Test and Measurement technology, is actively engaged in various funded cooperative R&D programs throughout Europe, managed from our central office in Belgium. Join our Team as a Project Administrator for European Funding Programs Responsibilities What you will be doing: As the Project Administrator for European Funding Programs, you will oversee the organization and monitoring of back-office activities related to our R&D programs. Your primary focus will be on providing administrative support to ensure smooth project operations. This includes managing various administrative tasks such as drafting reports, filing paperwork, and organizing meetings. You will handle legal aspects such as consortium agreements and contracts, financial tasks such as budgeting and cost claims, and ensure operational efficiency through time record keeping. Additionally, you will manage project administrative tasks, including reporting preparation and gathering inputs. Your role is crucial in maintaining the efficiency and effectiveness of project operations. For New Project Submissions: Manage standard administrative inputs into project proposals. Ensure accurate budget creation according to accounting systems. Compile project proposals and perform final editing into Word documents. Monitor deadlines and oversee the project filing process. Facilitate the negotiation process and ensure timely submission of necessary documents. Participate in identifying new project opportunities and writing new project applications For Existing Projects: Daily management of EU-funded projects. Ensure necessary administrative processes are in place and executed for each project. Follow up on projects, reminding technical project managers about upcoming deadlines. Monitor project budgets, distribution of funds, and track funds allocation within the company. Prepare cost statements and necessary reporting, including technical and financial reports. Produce project deliverables in coordination with other team members and project partners Produce project-related reports, brochures, and other communications as required. Support policy officers in the skills and innovations team by drafting policy documents and following up on meetings based on European regulations. You will collaborate closely with the European Research Projects Coordinator to ensure the proper implementation of both existing and new projects within our company management systems and resources. Qualifications Required Qualifications: Bachelor's Degree in Business Management or Accounting with strong Project Management skills Excellent communication skills in English, both verbal and written; knowledge of other European languages is a plus. Experience in organizing information and proactively planning tasks and deadlines. Proficiency in common office software and tools such as Windows Office, Excel, PowerPoint, SharePoint, MS-Project, and in-depth working knowledge of Word. Basic understanding of project management concepts (deadlines, milestones, deliverables). Good accounting understanding. Ability to work in an international context with strong organizational skills, adept at managing multiple tasks simultaneously with precision. Nice to have Qualifications: Relevant project management experience particularly in the administration of local and/or European-funded programs. Professional certifications in project management, such as Project Management Professional (PMP) or Certified ScrumMaster (CSM), is a plus. Software skills are advantageous.
