Job Summary
The Operations Officer functions as the central support for the Portfolio Management and Wealth Management team, acting as the intermediary between front-line and back-office operations. They are instrumental in upholding operational protocols, ensuring adherence to regulatory standards, and maintaining exceptional service levels. Responsibilities include efficiently addressing customer inquiries, fostering high customer satisfaction, and driving operational excellence throughout the team.
Primary Responsibilities:
1. Manage end-to-end client onboarding processes of all client accounts for MCL and across various brokers, ensuring compliance with KYC, AML and CFT requirements and obtaining account approval from senior management (CEO) as well as oversee the accurate and timely maintenance of client records in both physical and digital formats.
2. Responsible for the Client Database System (Wealtharc) which includes but not limited to the entering of client transactions or supervision of these entries including the creation of assets, updating cash receipts and purchase and sale of securities into and out of client portfolios.
3. Lead strategic communication efforts within the team, ensuring effective dissemination of updates regarding client transactions, while also managing interoffice communication and external company correspondence.
4. Overseeing the completion of all administrative tasks required by the unit. This includes developing and implementing streamlined processes for documentation management and signature capture while ensuring adherence to regulatory requirements and organizational standards.
5. Spearhead and coordinate all aspects of Repurchase Agreement (REPO) activities, serving as the primary liaison between MCL and the Trinidad and Tobago Central Depository (TTCD). Responsibilities include overseeing account management (creation of client accounts, assets, deposits and pledges on the Depend system), form completion and documentation submission.
6. Act as Paying Agent and Registrar for MCL. This includes but not limited to:
* Directing the accurate distribution of interest payments, dividends, principal repayments or any other disbursement specified in the terms of the securities to clients in a timely manner as well as ensuring it is recorded on the system.
* Responsible for maintaining an accurate and up-to-date register of security holders and their respective holdings.
* Facilitate the transfer of all bonds from purchase and completion of necessary transfer documents as well as communicating with the relevant Paying Agents.
Accountable for overseeing and ensuring the timely and accurate completion of all settlement
process
Facilitate the timely distribution of client statements and oversee monthly check-ins to ensure
client satisfaction.
Develop and maintain comprehensive daily and monthly schedules to facilitate monthly reviews
of the Client Database System (Wealtharc) ensuring comprehensive evaluation and strategic
analysis of its functionality and performance.
Oversee the execution of compliance and internal audit tasks, such as ensuring timely
submission of regulatory KYC documents to the compliance department, providing
comprehensive reports on a monthly and quarterly basis as well as collaborate closely with
compliance and internal audit teams to address queries and facilitate resolution.
Responsible for the reconciliation of external agent commission fees and commissions due to
internal agents.
Secondary Responsibilities:
1. Assist with special exercises and reports organized by the Unit.
2. Any project or activity, as assigned by the CEO or Portfolio Manager, Maritime Capital Limited.
Qualifications
Education
Minimum 5 CSEC passes inclusive of Grade 1 or 2 in Mathematics and English A and
5 CAPE passes (full certificate) or an equivalent diploma or professional certificate
BSc Mathematics/Economics/Finance/Statistics/Business Management
Experience
Three - Five (3-5) years experience in an operations setting; finance experience is highly preferred
