For my client in the Energy sector, I am looking for a Freelance EXACT Support profile to join them on a long term mission.
Background
EXACT is an internal digital platform for the management and validation of contractors, agents and companies, with a strong focus on safety, compliance and security access management. The platform supports this process by centrally managing, controlling and following up contractor and agent data, with a particular focus on safety qualifications such as BA4/BA5 and safety certifications.
Purpose of the position
The EXACT Support employee supports the daily operation of the EXACT platform and the ESPOC process by correctly and efficiently processing requests, following up on tickets and improving processes, database structure and user support. The function actively contributes to user-friendliness, data quality and compliance with safety and security requirements for contractors at the client.
Tasks and responsibilities
1. Operational support & request processing
Assist in the processing of contractor requests, including:
Verification and assessment (approval / reject) of:
General personal data
Identity data and proof of identity
BA4 / BA5 Certificates of Professional Competence
Contacting contractors in case of ambiguities or missing information
Processing of applications for new companies in EXACT
Correct and timely recording of decisions and communication in the system
2. Mailbox and ticket follow-up
Managing and processing incoming mails in the ESPOC mailbox
Creation, follow-up and closing of tickets
Feedback to applicants and internal stakeholders
Identifying recurring problems or structural bottlenecks
3. Database & system improvement
Contribute to a better design of the EXACT database, including:
Structure and logic
Management and optimization of filters
Data quality and ease of use
Applying improvement proposals from a fresh, external perspective
4. Documentation & knowledge retention
Drawing up a general manual / user manual for EXACT and ESPOC
Mapping and documenting existing workarounds
Contribute to standardizing and simplifying processes
5. Website & user experience contractors
Contribute to the improvement of the website for contractors:
Structure and navigation
Understandable and consistent texts
Tools and FAQs
Developing a clear step-by-step plan for contractors, distinguishing between:
New contractors
existing contractors
6. Continue verbetering
Actively thinking about process improvements
Identifying risks, inefficiencies and opportunities for improvement
Support in change processes and optimization initiatives

Basic knowledge or affinity with IT systems and databases, ticketing and workflow tools
Ability to understand and apply procedures quickly
Good written communication (NL/FR – additional languages are a plus)
