Job Introduction
In Europe, we work closely with our customers to deliver custom-made and specialized services across International Organizations, Space, Immigration, and Defence. We provide tailored services for various public sector bodies including European Institutions, the Belgian and German Defence, the European Space Agency, and the European Organization for Nuclear Research (CERN). Our expertise spans IT services, Facility Management, Space Research, and Operations.
We’re looking for a Bid Coordinator, to reinforce the team in our Brussels office!
The role involves working within the European Bidding Team to provide dedicated, high-quality support to the central Growth team and individual bid teams across the Business Unit, working with colleagues based in Belgium, Italy, Germany, France, Spain, Netherlands, Switzerland, Czechia and others.

Main Responsibilities
This is a key role, helping to ensure that we are in the best position to win good business to grow and develop the company.
As Bid Coordinator you will be responsible for:
Bid support:
6. Support the governance process for individual bids, working in partnership with Bid Managers and wider bid teams
7. Support individual bid management and governance processes as required, includingSupport with booking and managing meetings – e.g. governance sign-offs, challenge/review sessions etc.Contributing to key stages of the bid process – e.g. production of bid kick-off packs, managing document reviews etc.Helping to manage bid programmes and timelines.
8. Help to manage individual bid resourcing and budgets in partnership with Bid Managers
9. Manage the SharePoint site for each specific bid
10. Manage bid portals – e.g. clarification questions; bid submission uploads etc.
11. Contribute to ad hoc bid writing, management and production tasks as required
12. Develop/maintain expertise in bid processes, through liaison with the central team, Sector and Functional colleagues
13. Provide general support to the team as required (e.g. organisation of events, travel etc.)
Successful Candidate
Essential:
14. Experience of effective working on live bids
15. Good understanding of public procurement processes, rules and portals
16. Accuracy and attention to detail, with excellent organisational skills
17. Excellent Office skills (Word, Excel, PowerPoint etc.)
18. Fluent English – any other European language is a strong asset
19. Capacity to handle demanding and fluctuating workload
20. Thoroughness and attention to detail with steadiness under pressure

22. Team player
23. Strong communication and interpersonal skills to work with a range of people
