He/she will manage the day-to-day fleet operations and reporting along existing structure and continuously seek to improve processes and data. Main accountabilities are ensuring qualitative & timely follow-up of questions & requests from employees, operationally managing the (internal) suppliers, guarding the driver lifecycle, and invoice follow-up.Accountabilities / ResponsibilitiesSupport drivers operationally trough• Answering queries from drivers• Informing drivers on how to proceed and process changes• Point of contact for operational topics• Order and delivery process• Pro-actively reaching out in case of changes• Support (pro-actively) communication on global guidelines & expectationsSupport the driver lifecycle (hiring/promotion, changes of car, off boarding, international mobility)o Receives info on new hire/promotionso Organize timely (day 1) temporary car incl Fuel/Electricity cardo Initiate ordering processo Receives info on leaving employeeo Set-up returns of the caro Damage check & final payroll info.• Changes of car, drivero Pool Car management (cleaning, damage repair, reassignment, early contract terminations)o Moving cars from one driver to othero Temporary Car ManagementPartnership management• Initiates the multi-bidding process with leasing companiesSustainability and change management• Support the Fleet manager with everything from ad-hoc analyses to strategic initiatives, to make our Fleet Management program a key value contribution to UCB’s mission and goals• Act as an EV ambassador for increased EV adoption and culture shift towards a global sustainable fleetFinance & Admin• Invoice check and approval & follow up invoice issue.• Perform other related administrative and supportive dutiesEU & Local Reporting• Work with the Fleet management team and internal stakeholders to maintain visibility and global database of cars ensuring compliancy & data quality• Provide reports to internal stakeholders (payroll, finance, procurement, sustainability department...)What are we looking for?Experience in Fleet support or automotive industry – Good understanding of Fleet OperationsHighly motivated self-starterExcellent communication skills: ability to adapt communication style to the audience (cultural awareness)Excellent English verbal and written communication; French, Dutch & German are a plus.
