To strengthen our team, Quinz is looking for a dedicated and experienced Office- and Project Manager.

Role

As Office- and Project Manager, you play a key role in the day-to-day operations of the firm. You ensure that organisational, practical, and operational processes run smoothly so that lawyers and staff can fully focus on their core tasks.

In addition, you will take on an active project management role in major strategic initiatives, including the planned office relocation and the implementation of a new document management platform.

You are someone who takes responsibility, keeps an overview, and manages projects from start to finish with attention to detail and results.

Responsibilities

Project Management

* Manage and coordinate internal projects (planning, monitoring, vendors, deadlines, budgets).
* Coordinate the implementation and rollout of a new document management system in collaboration with external partners and internal stakeholders.
* Structure, monitor, and ensure alignment with project plans, quality standards, and timelines.

Procurement & Vendor Management

* Oversee the procurement process for office supplies, (IT) equipment, and services.
* Negotiate contracts with vendors and service providers to ensure cost-efficiency and value for money.
* Maintain accurate records of purchases and expenses.

Facility Management

* Ensure efficient office organisation, planning, and optimal use of facilities.
* Coordinate maintenance, cleanliness, and practical facilities.
* Serve as the primary point of contact for facility-related questions and improvements, including IT-related matters.

Insurance

* Manage the firm's insurance policies.
* Maintain contacts with insurance companies and brokers.

Profile

* You have experience as an Office Manager, project coordinator, or in a similar role (experience in a law firm or professional services environment is a plus, but not mandatory).
* You are hands-on: practical, proactive, and confident in taking responsibility.
* You have strong project management skills and enjoy handling tasks in a structured way from start to finish.
* You have an affinity with IT and digital tools (without being an IT specialist) and are comfortable with system implementations.
* You are energetic, positive, and solution-oriented, with a natural drive to move things forward.
* You have an eye for detail and work accurately, methodically, and efficiently.
* You are reliable, discreet, and trustworthy.
* You communicate fluently and professionally and excel at connecting different stakeholders.
* You have strong knowledge of Office 365 and related applications.
* You are fluent in English and Dutch. Knowledge of French is a plus.
