Tender Document Controller for Activity Line Dredging: managing and organizing incoming and outgoing documentation, assisting the tender team with the tender management processes and keeping up to date with branding information and tools.
Your responsibilities
* You manage incoming and outgoing information & documents on Tenders.
* You create and use SharePoint Views and assign metadata to documentation, using your own organisational skills.
* You read and analyse relevant tender documents and are able to act proactively on the Client's and Tender Team's needs in terms of organising the outgoing Tender Submission.
* You provide the Tender Team with the most user-friendly access to information such as client query responses, tender documents, … and set up a system that helps the Tender Team save time and effort on administrative jobs.
* You are aware of DEME's branding guidelines and templates and use the Document Management & Collaboration procedure and latest templates for the creation of outgoing documents.
* You handle the Deliverables preparation and organisation, and plan in frequent check-in meetings with the Tender Manager on the status.
* You are aware of the status of all Deliverables during the Tender process and you flag possible bottlenecks or delays in finalisations in time to the Tender Manager.
* In agreement with the Tender Manager, you are responsible for the content of some Deliverables.
* You review documentation written by the Tender Team for proper layout and design according to a set of branding guidelines.

* Administratively precise, efficient, and accurate
* Proactive and enthusiastic
* Enthusiastic user of Microsoft applications Word, SharePoint (knowledge of Views, Lists, Pages, Metadata attribution, SharePoint permission settings,...), PowerPoint and Teams.
* Fluent in English. Other languages a bonus.
* You are able to keep focus under changing circumstances and can provide qualitative work before deadlines.
