DICE is a leading CRO with over 35 years of experience focused that serves biotech and big pharma companies in Europe and the US. In order to support our growth, we are looking to hire an Experienced Office manager.
As an Experienced Office manager you will be the person that connects the dots for all the administrative and supportive aspects of our team. We are seeking a proactive and detail-oriented professional to support our administrative workflows. This role is pivotal in ensuring smooth project setup, financial coordination, and general office management within a dynamic and international environment.
Responsibilities
Project & Document Management
* Create and maintain structured project folders for clinical studies
* File and archive clinical trial documentation in compliance with regulatory standards
* Set up and update projects in ERP systems (Mariproject / SAP), ensuring accurate data entry and version control
Financial & Contractual Coordination
* Prepare workorders in collaboration with project leads
* Assist in budget reviews and financial tracking across studies
* Review incoming invoices and verify alignment with contractual agreements
* Prepare and follow up on payments, ensuring timely processing and reconciliation
Operational Oversight
* Manage company fleet logistics, mobile phone contracts, and software license renewals
* Coordinate travel arrangements, meeting bookings, and shipment logistics
* Maintain office supplies and support marketing-related administrative tasks
Qualifications and skills
* Minimum of 7 years of experience in a similar role, preferably in an SME.
* At minimum a bachelor degree, master degrees will also be considered.
* Proficient in Microsoft Excel, Word, and Adobe Acrobat
* Willing and able to learn ERP systems such as SAP and Mariproject
* Proactive, Highly accurate, with strong attention to detail
* Capable of working independently and managing multiple priorities
* A strong communicator with a service-oriented mindset
* Proficient in English
