Assistant Level 1 – Public Affairs

About the Role
One of our clients is looking for a dynamic and motivated Assistant Level 1 to join their Public Affairs team. This is a full-time role (40h/week), initially on a temporary contract with the possibility to transition to a permanent position.
The role consists of directly supporting 4 Directors within a team of 15 people. The current assistant will evolve into a new role but remain in the department. The new assistant will take over operational and administrative support for the Directors, including agendas, meeting organization, travel arrangements, and expense management.
You will also support the overall department, including coordination of team meetings, events, and day-to-day activities. This is a strategic and highly visible role requiring flexibility, professionalism, and the ability to handle multiple priorities.

Key Responsibilities
1. Executive SupportManage agendas, meetings, travel, and expenses for 4 DirectorsSupport meeting preparation and documentationProtect Directors' time and anticipate needs proactively2. Department Coordination & Team SupportOrganize weekly team meetings and follow up on action pointsCoordinate departmental activities and events, including logistics, venues, catering, and materialsMaintain department documents on SharePoint and serve as central contact for administrative requestsAssist with onboarding new team members3. Project & Event SupportSupport events, including venue booking, guest list coordination (GDPR-compliant), registration setup, and post-event reportingCoordinate calls with stakeholders, prepare agendas, take minutes, and follow up on action points4. General Administrative SupportMaintain and update contact lists in internal databases (e.g., Salesforce)Support internal communications and coordinate input for Public Affairs work
Candidate Profile
Experience & Skills:Bachelor's degree or equivalent in Office Management or similarMinimum 3 years' experience in administrative support, ideally at senior management levelExcellent written and oral communication skillsFluent in English; additional languages are a plusStrong proficiency in Microsoft Office (Word, Excel, PowerPoint)Highly organized, proactive, and able to prioritize tasksComfortable managing multiple schedules (up to 30 calendars) and supporting multiple senior leaders simultaneously
