General Information/Job Summary
Provides administrative support for field operations. Primary duties include maintaining office records in Workday HR System, Payroll processing in NOVAtime and implementing office-based procedures and policies as directed by the management.
Responsibilities/Competencies
1. Data entry in HR system to include, new hire processing, status changes and separations.
2. Assist employees with online new hire process, verifying documents, E-verify, completeness of online onboarding and adhering to deadlines of submitting information into required databases.
3. General office duties including scanning paperwork for all, reports, and drug testing, answering phones, filing and maintaining electronic documentation and correspondence., copying, and other duties as directed by project management.
4. Obtain required authorization/approvals for various paperwork.
5. Administering and submitting forms in a timely manner, help craft employees regarding questions pertaining to insurance benefits, FMLA, 401K, and other benefit related issues.
6. Balance and submit time via recap from signed timesheets to payroll in the allotted timeframe.
7. Monitor job site radio communications, distribute messages to employees and management.
8. Assist Project HSE site on-boarding including safety orientation.
9. Assist Site Manager and Superintendents with weekly progress reports.
10. Enter correct phase codes correctly and material recaps.
11. Support Superintendent with equipment inventory, tracking, and coding.
12. Ensure procurement of office supplies and consumable materials
13. Assist Purchasing with paperwork, collecting, and matching delivery tickets, communicate with vendors, prepare for billing.
14. Receive, sort and log all incoming deliveries; prepare all outbound deliveries.
15. Provide maps and directions for visitors to the site, including subcontractors, new employees and delivery personnel.
Requirements
16. 5+ years of experience in field clerk/office management in a construction environment
17. Strong teamwork orientation, initiative, communication, problem-solving and leadership skills. Ability to work cross functionally with departments and team members.
18. Detail oriented to organize and handle multiple project tasks.
19. Exhibit a positive professional attitude, maintain confidentiality, and have a high-level of customer service skills for internal and external customers.
20. Work closely with the corporate HR team regarding field employees. Effectively communicate policies and procedures.
21. Willing to work in a construction environment and comply with all safety and Personal Protective Equipment requirements.
22. Travel may be required depending on project location.
23. Proficient in Excel and Microsoft Office, Outlook, Word
24. Comply with the attendance requirements of the project.
25. Authorized to work in the United States
