We are seeking an exceptional Chief Executive Assistant to provide high-level strategic and administrative support directly to our Executive Officer.
About the Role
As the Executive Assistant, you will serve as the CEO's trusted partner, acting as the primary point of contact and gatekeeper. This is a pivotal role that requires anticipation of needs, impeccable discretion, and the ability to thrive in a fast-paced environment. You will play a key part in ensuring the CEO's time is optimized, enabling them to focus on strategic leadership and company growth.
Key Responsibilities
* Manage the CEO's complex calendar, including scheduling meetings, appointments, and coordinating with internal/external stakeholders
* Arrange domestic and international travel, itineraries, and logistics
* Prepare and edit correspondence, reports, presentations, and confidential documents
* Serve as a liaison between the CEO, board members, senior executives, and external partners
* Coordinate board meetings, executive retreats, and special events
* Handle incoming communications (emails, calls), prioritizing and responding on behalf of the CEO when appropriate
* Oversee special projects, research, and data analysis to support decision-making
* Manage expense reports, budgets, and administrative processes
* Maintain strict confidentiality on sensitive matters
Qualifications and Skills
* 5+ years of experience as an Executive Assistant supporting C-level executives (CEO experience highly preferred)
* Proven track record in a high-pressure, fast-paced environment
* Exceptional organizational skills with keen attention to detail and multitasking abilities
* Outstanding written and verbal communication skills
* High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and tools like Slack, Zoom, or project management software
* Strong problem-solving skills and the ability to anticipate needs proactively
Discretion and professionalism when handling confidential information
Bachelor's degree preferred (in Business Administration, Communications, or related field)
Flexibility to occasionally work outside standard hours for urgent matters or travel support
