What you do
As a Purchase & Sales Support Employee, you are responsible for supporting both the purchasing department and the sales team. You ensure smooth administrative and operational processing of orders, quotes, and customer files. You act as an internal point of contact for customers, suppliers, colleagues, and external partners, and actively contribute to the efficiency and customer focus of the organization.
- General tasks:
1. Perform assigned duties and follow instructions and guidelines from the Plant Manager and/or Sales Manager.
2. Periodic reporting on the progress of tasks and files.
- Purchasing:
3. Monitoring ongoing orders and taking action where necessary.
4. Placing orders and checking order confirmations.
5. Checking purchase invoices and requesting credit notes if needed.
6. Following up on delivery performance and, in consultation with the Plant Manager, taking corrective/preventive measures.
7. Evaluating and monitoring the performance of existing and new suppliers.
8. Handling complaints in collaboration with the Quality Improvement Officer.
9. Creating materials and managing items in SAP.
10. You are willing to help wherever needed.
- Sales Support:
11. Internal commercial contact point for customers, prospects, dealers, sales managers, and colleagues (by phone and email).
12. Following up on quotation requests, technical questions, complaints, visit reports, etc.Order processing in the ERP system and monitoring of ongoing orders.
13. Following up on overdue payments in collaboration with Credit Control.Entering and updating price lists.
14. Preparing and tracking invoicing.
15. Creation of production orders.
16. Management of customer rebates.
- Logistics:
17. Providing instructions to the warehouse regarding transportation.
18. Arranging transportation for completed orders.
19. Checking transport invoices and maintaining contacts with carriers.
- Quality:
20. Inspection and management of test reports and IQC forms.
Who you are
21. Higher education (bachelor's level) and/or knowledge acquired through experience
22. Several years of experience in a similar role in a production environment.
23. Experience with centralizing purchasing processes is a plus
24. Accuracy and attention to detail
25. Strong administrative and organizational skills
26. Customer-oriented and communicative attitude
27. Problem-solving and proactive
28. Good knowledge of ERP systems and MS Office
29. Experience with SAP is a plus
30. Fluent in Dutch, French & English.
31. Knowledge of German is a plus
