The Purchase, IT Contract & Vendor Management department at Ypto is responsible for managing the contractual and procurement framework that supports the company’s operational and investment needs.

Main Activities

1. Develop, maintain, and strengthen relationship management (contract lifecycle management):

Lead negotiations on contractual matters with suppliers

Lead financial negotiations in partnership with Procurement/Legal

Ensure the development of supplier relationships and facilitate their onboarding

Act as a contractual intermediary between company employees and existing suppliers, ensuring timely evaluation of divergences, either accepting or negotiating them

Monitor transactions (milestones, deliverables, invoicing, etc.)

Ensure inclusion of SLA (standard and measurable) in contracts, along with penalties

Ensure necessary cooperation with internal client services

Manage contract closure (approval reports, etc.) and possible transitions

Lead negotiations in case of contractual issues audits)

Control the drafting of contract terms and monitor their implementation

2. Monitor contractual risk and financial management:

Develop best practice strategies to identify supplier-related risks, implement management plans (to prevent risks), and contingency plans (to address risks that occur despite management plans)

Inform the risk and finance departments to coordinate contractual requirements

Collaborate with the finance department to meet overall financing and risk requirements, such as revenue recognition, pricing and discount policies, etc.

Understand and participate in financial engineering and assessment of the economic impact of terms and term option

3. Contract management responsibilities:

Within the contract team, manage contract documentation, including receiving and verifying all correspondence, supplier contact sheets, contract amendments, status reports, and other project-related documents

Develop, when necessary, guidelines on contractual matters for project managers or other operational staff, complemented by training for new project managers and employees on contract procedures

Develop and implement contract management and administration procedures in line with company policy, and apply relevant frameworks when required

Provide information on company policy when necessary

Ensure company staff comply with established procedures and applicable legislation

Ensure signed contracts are communicated to all relevant internal parties

Handle ongoing procedures and implement modifications as needed

4. Master’s degree or equivalent through experience

5. Relevant professional experience of 5+ years minimum

6. Assertive with strong communication skills

7. Integrity and sense of responsibility

8. Experience in contract negotiation and execution

9. Solid general IT knowledge (end-user computing, infrastructure, etc.)

10. Knowledge of contract models, financial models, budgeting, and risk management

11. Knowledge of relationship management

12. Knowledge of governance and financial procedures

13. Knowledge of legislation (public procurement)

14. Knowledge of outsourcing models and related risk management

15. Knowledge of organizational structure, internal (work) procedures, and regulations

16. Knowledge of common and company-specific software

17. Proficiency in French, Dutch, and English (spoken and written)
