We are looking for a Patient Communities Operations Coordinator who is detail‑oriented, proactive, and compassionate to join us in our Patient Engagement and Advocacy team, based in our UCB office in Brussels, Belgium.
About the role
You will be working in a team that supports global patient engagement and advocacy activities. In this role, you will coordinate the full operational lifecycle of patient‑focused initiatives, ensuring smooth processes from contracting to execution. You will also provide project management support for key initiatives that contribute to our annual patient engagement objectives. Your work will help ensure that patient perspectives are meaningfully integrated into our activities worldwide.
Who you’ll work with
You will be working in a team that collaborates closely with colleagues across legal, compliance, finance, medical, and other internal functions. You will also interact with patient organizations, individual patients, and external partners. This role places you at the center of a diverse network of stakeholders committed to improving the lives of people living with severe and chronic conditions.
What you’ll do
• Coordinate contracting, consent, and payment processes for all patient engagement activities, ensuring smooth and timely execution.
• Maintain and improve tools, processes, and shared platforms that support patient engagement activities.
• Support project delivery by coordinating timelines, tasks, communications, and follow‑up actions for assigned initiatives.
• Organize and manage meetings, workshops, and advisory boards, including logistics, materials, and participant communication.
• Facilitate discussions, capture meeting notes, track progress, and ensure accountability across project teams.
• Build trusted relationships with internal and external partners to enable patient‑centric and compliant collaboration.
Interested? For this role we’re looking for the following education, experience and skills
• Bachelor’s degree or postgraduate qualification, ideally complemented by project management certification.
• Minimum two years of experience in project coordination, administrative operations, or a related role, ideally within the healthcare or life sciences sector.
• Experience working with diverse, international teams and managing multiple activities under tight timelines.
• Ability to collaborate effectively across functions such as medical, regulatory, safety, manufacturing, or access.
• Strong organizational skills, attention to detail, and the ability to manage multiple priorities.
• Excellent communication skills, empathy, and the ability to work with sensitivity when interacting with patient communities.
