Duties and Role:
Under the direction of the Land/Air Business Unit Owner, the incumbent will perform duties such as the following:
1. Consolidating statistical reports and the tracking of submissions to align to expectations;
2. Resource planning alignment with the Head Portfolio Management Office (HPMO) & Head of Staff Management Office (HSMO) for the Business Unit;
3. Act as the interface between the Land/Air Business Unit Owner and the NIMSC Front Office;
4. Monitor the Business Unit fund execution and prepare reports and statistical analysis for presentation to the Business Unit Owner;
5. Monitor the Key Performance Indicators of Projects and Services Execution and prepares reports and analysis to the Business Unit Owner;
6. Support the Business Unit Project Managers to monitor and control project progress to ensure resources are consumed in accordance with the approved budget and within the approved timelines;
7. Support the Business Unit Service Delivery Managers to monitor and control Services to ensure resources are consumed in accordance with the approved budget and within the approved timelines;
8. Support reporting and communications with the Business Unit and NIMSC management, in order to ensure projects are monitored and controlled across all management levels;
9. Coordinate with HSMO to ensure swift and efficient recruitment and contracting activity and to maintain Business Unit manning status reports;
10. Coordinate project or service related activities for Travel and Contractual Management;
11. Support the production of Weekly, Monthly and Quarterly NIMSC Project and Service situation reports;
12. Administration and delivery arrangements for technical and behavioural training for NIMSC personnel;
13. Responsible for the centralised coordination and standardisation, maintenance, development policing of the NIMSC Land/Air intranet SharePoint IKM web/portal-page;
14. Working with all NIMSC Business Units to ensure standardisation and centralising of information repositories to introduce leaner processes and efficiencies to the benefit of all;
15. Business Unit Space Management and Security Representative;
16. Responsible for the coordination of centralised accounting and inventory activities in direct liaison with the HSMO Office within NIMSC;
17. Act as Principal Administrative POC within the Business Unit for NICs, Military and IWC project focused personnel;
18. Deputize for higher grade staff, if required;
19. Performs other duties as may be required.
Requirements
Skill, Knowledge & Experience:
20. The candidate must have a currently active NATO SECRET security clearance
21. Higher vocational training in a relevant discipline, with at least 3 years post-related experience, or a secondary educational qualification, with at least 5 years post-related experience, in progressively responsible support positions;
22. Experience in resource planning and personnel management;
23. Experience in budgetary planning and management;
24. Demonstrated skills in Microsoft Office suite, including Project, Word, Excel, PowerPoint, SharePoint and databases;
25. Experience in organization, coordination and communication;
26. Experience in guidance writing and reporting.
Desirable Experience and Education:
27. Experience in the preparation of statistical analysis and appropriate mechanisms to document and present the findings in an academic or comparable environment;
28. Experience in Project Management Framework / Methodologies such as PRINCE 2, PMP;
29. Knowledge of the NCI Agency;
30. Prior experience of working in an international environment comprising both military and civilian elements;
31. Knowledge of NATO responsibilities and organization, including ACO and ACT.
