Corporate Real Estate (CRE) at Deutsche Post DHL is responsible for more than 12,000 properties across all DPDHL business units worldwide. This portfolio covers an area of more than 30 million m² and is managed by around 1,700 dedicated real‑estate experts. Job Purpose
Corporate governance and strategic, technical, and system‑level management of Material Handling Equipment (MHE) within DHL’s contractual scope. Responsible for supporting and driving fleet optimisation initiatives in alignment with each site’s Operations Manager, ensuring process standardisation, operational efficiency, continuous improvement, and cost reduction. Support administrative activities and REM implementation, meeting compliance requirements and supporting leadership in strategic planning for the Business and Corporate Real Estate.
Your tasks
* This is a full‑time position with normal working days from Monday through Friday, requiring periodic on‑call availability for emergency situations.
* You will manage the work of specialty vendors and work under limited supervision.
* Submit service requests with established vendors within the scope of services.
* Coordinate facilities‑related activities on a daily basis.
* Help maintain and repair facilities through the coordination of preventive maintenance with vendors.
* Develop and maintain the facilities services database.
* Coordinate equipment maintenance with vendors and facility staff.
* Update facility floor plans.
* Back up to the Assistant Facility Manager.
* Interface with other groups within DHL, including IT, Finance, Operations, Security, Accounting, Procurement, Risk, Tax, and HR.
* Serve as liaison between DHL, Corporate Real Estate, and landlords.
* Ensure landlords comply with lease requirements regarding maintenance and management obligations.
* Handle a broad range of CRE work—some administrative, but sometimes complex and non‑routine requiring background research (e.g., compliance, budget guidance).
* Independently handle and resolve various facility issues, ranging from complex to simple.
* Ensure delivery of own service to set standards, targets, and schedules.
* Be knowledgeable in the main products, services, and business processes of the key business partner and maintain basic knowledge of all other divisions.
* Execute work independently, making decisions on typical tasks or issues.
* Plan projects to ensure smooth operational delivery to customers.
* Follow the procurement process to advance projects and create purchase orders.
* Manage the finances of responsible projects from start to finish, including obtaining bids through final vendor payment.
* Implement new software and maintain the use of current software.
* Prepare data reports for presentations, KPIs, business reviews, and monthly reports.
* Identify, implement, and report on savings opportunities.
* Implement and manage sustainability projects for GoGreen initiatives.
* Coordinate mailroom duties and provide assistance as needed.
* Effectively deal with people both internally and externally.
* Be technically competent in office environments.
Stakeholders
* Ensure policies and practices related to the job area are followed.
* Use the network of contacts established by the Facility Manager to strengthen the organization.
* Address task‑related issues appropriately to maintain work relationships.
Education Level
* Graduated in Engineering, Architecture, or Administration.
Experience Level
* More than 2 years of facilities experience required.
* Experience in fleet management, specifically MHEs (Material Handling Equipment).
* Hands‑on experience with equipment maintenance.
* Expertise in analysing operational processes.
* Practice with financial controls.
* Knowledge about the 5S concept.
* Advanced Office skills (Excel and PowerPoint).
* Advanced communication in English.
