Any costs associated with taking up the position would be the responsibility of the successful candidate.About the PositionUnder the general direction of the Senior Administrative Officer (SAO), this position is responsible for managing Post's property portfolio. This position is responsible for coordinating planned and reactive maintenance items and supervising works as required. The position will work with colleagues on security matters for the post and undertake procurement activities, including researching, recommending and making payment of approved items in alignment with DFAT financial procedures. The position leads on the mission's Work Health and Safety (WH&S) obligations.Key responsibilities of the position include, but are not limited to:Support the effective management and upkeep of the Embassy's property portfolio by coordinating repairs and maintenance, liaising with Post management, HOM Residence staff, landlords, building services (residences and Chancery) and local tradespeople, while ensuring all property documentation and database listings are accurate, timely and compliantCoordinate the Embassy's Work Health and Safety (WH&S) obligations, including conducting risk assessments, reviewing and updating risk registers and managing incident reporting. Contribute to the overall health, safety and wellbeing of officers and families by ensuring the Embassy property portfolio complies with WH&S standards, as outlined in DFAT policies and procedures.Assist with the arrival and departure procedures for Australian Diplomats and assist post management in sourcing suitable residential properties that comply with DFAT/ Overseas Property Office (OPO) guidelines and undertake negotiations with landlords and property agents as required.Conduct simple procurements to support the maintenance of the Embassy's property portfolio, including furniture and fittings, service and maintenance contracts and rental payments. Maintain accurate inventory records and regular stocktakes.Assist with tracking budgets and accounts payable and making financial payments in SAP related to property and other corporate items.Coordinate the Embassy's first aid officers, fire officers and wardens, including organising training, arranging evacuation drills and assisting the Chief Fire Officer.Oversee the Embassy's cleaning contract, including monitoring the day-to-day cleaning activities in the Chancery and arrange waste disposal for the Residence.Support security functions by acting as backup to the IT, Security and Transport Manager, including management of access control, guard liaison and Embassy badge issuance.Provide other administrative assistance to the office as directed.ProfileFluency in oral and written English and French is required. A sound working knowledge of Dutch would be an advantage.Valid Belgian drivers licence with a clean driving record to operate official Embassy vehicles.Excellent client service, communication and liaison skills, with the ability to work effectively with internal and external stakeholders.Knowledge and demonstrated experience in project management and managing property portfolios, including the ability to supervise tradespeople/ work teams.Ability to interpret policy, regulations and guidelines related to property, finance and contract management.Good judgement, strong problem-solving skills and the ability to exercise discretion.Strong interpersonal and organisational skills and a proven ability to work autonomously and collaboratively within a small team to set priorities and meet deadlines.Proficient ICT skills including Microsoft Office applications (Word, Outlook and Excel).Prior experience using SAP is highly desirable.Selection CriteriaPlease ensure you provide a response to each of the listed selection criteria below.In your response, you must include relevant high-level examples from your experience that support your claims against the role.The word limit is strictly 250 words per response to each selection criteria.
