Administrative position!
• General Business Administration (approx. 2/3 of the role): Provide administrative support to Benelux based founders and ensure a back-up for administrative support. Develop proposals in collaboration with other functions to improve administrative processes that affect customer satisfaction.
• Support financial business processes including PO raising, processing invoices in Athena and where required procurement activities. Creation of contracts for events
• Arrange/book customer travel, transport, transfers, accommodation, meeting facilities, conferences, global videoconferences and teleconferences, events, registrations; produce complex itineraries for international trips.
• Input events into Veeva and conducting FCPA review in Appian with officials.
• Act as focus for function specific records management, retention and archiving of business documentation in line with regulatory requirements and the support of ad-hoc internal audit.
• Conduct all activities in compliance with company policies and standard operating procedures, including financial system administration, document management and team core compliance.
Required education, experience and skills
• Excellent knowledge of MS Office suite (inc. Word, Excel, Teams, PowerPoint)
• Very strong prioritization and organizational skills
• Ability to work under pressure and with limited direction on a day-to-day basis.
• Ability to show own initiative, logical thinking and creative problem solving in response to day-to-day situations.
• Strong written and verbal communication; strong interpersonal skills.
• Ethics and integrity, awareness of compliance requirements and maintaining confidentiality as normal way of working.
Skillset
* No prior knowledge in Pharma necessary but a plus
* Fluent in English (french and dutch or a plus)
