Your Mission
As an Assistant Payroll Consultant, you provide administrative and operational support to the team of Payroll Consultants. You contribute to efficient, accurate, and high-quality service delivery to clients, allowing consultants to focus on their core tasks.
Key Responsibilities
1. Support to Payroll Consultants
* Carry out basic tasks such as creating new files and contracts, completing social documents, and filling out information forms.
* Enter data (absences, benefit codes, warrants, etc.) into the relevant systems.
* Contact official bodies (NSSO, health insurance funds, etc.).
* Enter and, in some cases, calculate salary data for partners’ files based on input from the Payroll Consultant.
* Work closely and communicate actively with Payroll Consultants to ensure accurate and timely processing.
2. Administrative Support
* Conduct research in mailboxes, files, OneNote, etc.
* Check and complete files for accuracy; inform the PRC and Lead Link if necessary.
* File and structure documents.
3. Handling of Client Requests (via tickets)
* Submit Dimona declarations.
* Process ASRs (long-term illness, part-time medical leave, paternity leave, return to work, etc.).
* Grant access to Partena portals.
* Request fiscal documents.
* Draft and send documentation for temporary unemployment.
4. Billing Support
* Request approval for additional services from ADP.
* Register and invoice quarterly group insurance declarations.
* Provide input for global billing to ADP.
5. Operational Follow-up of Payroll Processes
* Daily monitoring to ensure client input is submitted on time and payroll is closed by the PRC.
* Verify completed checklists for payroll simulations.
6. Reporting and Document Management
* Prepare and update Excel files for internal reporting.
* Write meeting minutes for team meetings.
* Execute basic reporting using various tools.
7. Knowledge Development and Monitoring of Social Legislation
* Actively participate in training and information sessions.
* Share knowledge with colleagues.
Your Profile
* Degree: Bachelor’s in secretarial studies, administration, or equivalent.
* Experience: At least 2 to 3 years of experience in a similar position.
* Languages: Fluent in Dutch and good command of English.
* IT skills: Proficient with MS Office.
