Job Responsibilities
Administrative Support
* You create and manage purchase orders (POs) based on project needs and procurement planning.
* You follow up with suppliers regarding confirmations, delivery notes, and required documentation (certificates, guarantees, etc.).
* You maintain and regularly update procurement trackers and internal project documentation databases.
SAP/ERP Task Execution
* You enter and manage procurement data accurately in SAP or equivalent ERP systems.
* You monitor PO status, goods receipts, and supplier performance throughout the project lifecycle.
* You ensure all procurement data is compliant with internal documentation and quality standards.
Supplier Documentation Management
* You collect, verify, and manage supplier documentation such as certifications, performance guarantees and approvals.
* You ensure supplier records are kept up to date to support project closure and service handover.
Project Closure Support
* You assist in gathering project closure documentation such as as-built files and spare parts lists.
* You coordinate with Customer Services and Operations Teams to ensure after-sales documentation is complete and correct.
Cross-functional Collaboration
* You work closely with the Buyer Team to ensure that procurement documentation reflects agreed commercial terms.
* You align with the Logistics Team for timely tracking and delivery of goods.
* You participate in monthly alignment meetings with Procurement, Logistics, and Customer Services teams to streamline workflows.
Required Skills and Experience
Educational Background
* You hold a degree in a relevant field, preferably with a technical component to support your understanding of project procurement and technical documentation.
ERP & Digital Proficiency
* You have experience working with ERP systems such as SAP.
* You are proficient with Microsoft Office tools, especially Excel and Outlook.
Language Skills
* You are fluent in English, both spoken and written.
* Knowledge of Dutch or French is considered a strong asset.
Core Competencies
* You have strong organizational skills and can manage multiple tasks and deadlines in a structured way.
* You understand the flow of a project and can align procurement actions to project milestones.
* You have great attention to detail and a critical eye when reviewing supplier documents.
* You communicate clearly and professionally, both internally and with suppliers.
