The Opportunity:

Executes day-to-day lab operations & support objectives at customer facilities, following a defined standard output or set of procedures, focused on minimizing laboratory workflow interruptions. Problems and issues faced are generally recurring and solutions are typically known and/or prescribed. More complex problems are solved by applying methods learned through experience and/or using available support. Activities may include PPE and/or safety station checks and maintenance, reviewing defibrillators, extinguishers and dispensing areas to confirm working order, storage, tracking and distribution of chemicals/materials ensuring accurate inventory control, and hazardous waste collection and recycling. Collects, documents, and organizes data and observations. Communicates activity records, service level metrics and other information requiring some explanation or interpretation to team members, supervisors or customers.

Purpose of the role

This role ensures end-to-end continuity of laboratory operations by managing the full ordering cycle as well as the physical reception of goods. By ensuring that materials are accurately ordered, tracked, delivered, received, and made available on time, the role directly supports critical scientific and pharmaceutical research. It helps prevent operational risks such as delays, stockouts, non‑compliant deliveries, or issues related to product integrity and storage conditions. Through precise order flows, rigorous reception handling, and consistent documentation, the position contributes to reliable, efficient, and compliant supply processes aligned with UCB’s quality and safety standards.

Depending on the assignment, the scope may focus on chemistry‑related products (chemicals, solvents, reagents) or on biological materials and laboratory consumables, while maintaining flexibility to support additional categories when needed.

Main Mission

Manage the entire order cycle for laboratories (Research), from order entry to invoicing, including physical reception of goods.

Key Responsibilities

1. Enter biological, consumable, and chemical orders in SAP/Ariba as required; provide backup support for colleagues when needed.
2. For chemistry‑related activities, use the Revvity (Signals Inventory) platform and ensure accurate documentation of order placements and material receptions.
3. Monitor orders with suppliers and track delivery dates.
4. Identify and resolve order discrepancies and ensure effective coordination with Finance for issues or clarifications.
5. Receive goods, verify storage conditions, and ensure proper distribution to end users.
6. Enter and update inventory data in the IM system to support accurate inventory management.
7. Communicate order updates and potential delays to requesters in a timely manner.
8. Conduct basic physical warehouse tasks (storage, organization).
9. Create replenishment requests in SAP/Ariba and update inventory master data (prices, suppliers, quantities).

10. Knowledge of SAP/Ariba and MS Office (Excel).

Additional Information

This position is on‑site and requires flexibility to provide backup for colleagues when needed.
The associate will primarily be responsible for order management and goods reception but may also support scanning and replenishment when necessary to ensure operational continuity.

Full‑time role based at UCB Pharma in Braine‑l’Alleud, Monday to Friday.
