Bilingual front office assistant

Our client, a reputable International Law firm, is looking for a responsible and polished Bilingual Front Office Assistant who can provide front office support to their Spanish office.


Responsibilities (among others) include:

* Acting as the first point of contact for the firm
* Managing international call filtering (English & Spanish)
* Greeting visitors and ensuring they are looked after whilst at the office (English & Spanish)
* Booking & organising meeting rooms for internal and external meetings, setting up videoconferences
* Liaising with providers to ensure smooth running of the office
* Coordinating meeting room set up with IT team
* Organising courier service, receiving and classifying deliveries
* Booking catering services for any internal meetings or events
* Ordering and managing office and kitchen supplies (stationary, etc.)
* Coordinating transport (taxis/airport transfers) for visitors/clients
* Giving support organising travel and handling documentation
* Supervision of office maintenance for common areas, ensuring upkeep reflect standards of the firm
* Ensuring contacts are updated to the database with accuracy and precision
* Supporting a wider team of Assistants and Lawyers with ad-hoc administrative tasks (printing, binding, etc.)


Candidates should be bilingual in English/Spanish (additional languages also favourable). Relevant studies as well as a professional level of Microsoft Office/standard Tech is also a prerequisite. Ideally the candidate will have previous front office/administrative experience in a legal or professional services environment.


The ideal candidate will be proactive and always willing to help. They will be well presented and approachable as will act as the first point of contact and ambassador for the firm.


This position is 100% office based.


Location – Madrid, Castellana

Salary – Between €24,000 – €27,000

Timetable – 9.00 – 18.00h

Contract – Temporary (Parental leave)


Please note this role is slated to begin in September.
