We are currently looking for a HR Administrative Assistant for a short-term contract.
1. Your Mission:
As our HR Administrative Assistant, you will be part of a 5 colleagues team.
By displaying your outstanding administrative, communication and organizational skills, you act as a key member to support the different stakeholders (Global HR Director, HRBP’s and Payroll Officer) in all daily activities.
2. Key Responsibilities
As HR Administrative Assistant, your main responsibilities will revolve around 3 areas:

4. Dispatch & first line contact for basic HR-questions;
5. Manage the personnel administration files of our workers - digital and on-site files;
6. Prepare HR related documents (offer letters, contracts, addenda, other paperwork, social documents) and send them out;
7. Manage the displayed information at the info valves;
8. Follow-up of the necessary purchase orders and invoices;
9. Follow-up of work accident reports;
10. In charge of the archives process;
11. Manage and update HR databases with different information such as new hires, terminations, sick leaves, vacation and days off;
12. HR Payroll support
13. In charge of encoding all information linked to the payroll process;
14. Maintain the HRIS systems ensuring employee information is up to date and accurate;
15. Control of the time management system;
16. HR Assistant
17. Additional ad-hoc support based on key HR priorities ;
18. Manage shared HR inboxes;
19. Provide administrative support for HR executives;

The position will report to the Total Rewards & HR Analytics Manager.

21. A first experience in a Human Resources department is required;
22. Show a professional communication style both verbal and written;
23. Excellent organizational skills and administrative skills;
24. Proactive mindset with a sense of priorities;
25. Flexible and adaptable to changing priorities;
26. Capable to work independently and a team player;
27. Ability to effectively use computer software including Microsoft Outlook, Word, Excel, PowerPoint and HR software;
28. Interpersonal skills;
29. French mother tongue and fluent in English, Dutch is a plus.
Education:
30. Bachelor’s Degree in Human Resources Management or Business Management
