Job Description
The Executive Assistant will play a pivotal role in supporting the Regional President in the leadership & growth of our animal health company. The successful candidate will provide high-level administrative and organisational support to ensure the seamless operation of the President’s office and contribute to the overall success of the region.
Responsibilities
• Manage and coordinate the Regional President’s complex calendar, including scheduling meetings, appointments, and travel arrangements across multiple time zones.
• Serve as the primary point of contact for internal and external stakeholders, maintaining professional and effective communication on behalf of the President.
• Prepare, proofread, and edit correspondence, presentations, reports, and other documents for the President.
• Organise and coordinate regional leadership meetings, events, and conferences, including agenda preparation, logistics, and minute-taking.
• Screen and prioritise incoming communications, ensuring timely responses and appropriate delegation.
• Handle confidential information with the utmost discretion and professionalism.
• Support project management initiatives by tracking deadlines, deliverables, and follow-ups as directed by the President.
• Collaborate with other executive assistants and administrative staff across the company for alignment and best practice sharing.
• Assist with expense reporting, budgeting, and invoice processing as required.
• Provide support to the MACIE Commercial Regional Team when required.
Education
• Bachelor’s degree or equivalent work experience in business administration or a related field.
Experience
• Minimum of 5 years' experience supporting senior executives, preferably in the animal health, pharmaceutical, or life sciences industry.
• Ideally have experience supporting a complex commercial/sales operations across differing countries and cultures.
• Exceptional organisational and time management skills, with the ability to manage multiple priorities in a fast-paced environment.
• Excellent written and verbal communication skills; proficiency in English is essential.
• High degree of professionalism, discretion, and integrity.
• Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
• Strong interpersonal skills and a collaborative approach to working with cross-functional teams.
• Flexibility to occasionally work outside standard business hours as required.
