Mission

For one of your clients, a financial institution located in Luxembourg city, Sofitex Talent is currently looking for an

Administrative Assistant & Office Manager (M/F)

Duties and responsibilities:

Executive Assistant Tasks

* Coordinate and manage calendars for the management team

* Prepare agendas, presentations, and materials for meetings

* Take and distribute meeting minutes as needed

* Assist with travel bookings, expense management and internal event coordination

Administrative Support

* Assist with general administrative tasks such as filing, scanning, data entry, and document formatting

* Greet visitors and ensure a welcoming environment

* Support office supply inventory and ordering

* Handle incoming/outgoing courier and postal services


Profil

* Bachelor’s degree or equivalent

* 3-5 years of experience as Executive Assistant, Administrative Assistant or Office Manager.

* Fluency in English and French

* Strong project management and organizational skills with good knowledge of business administration.

* Manage confidential information with the utmost discretion and integrity.

* Proficiency in Google Workspace tools and collaboration tools (Slack, etc.).

* Analytical Thinking, Problem Solving, Organizing and Prioritizing.

* Attention to detail, effective communication, flexibility and agility.

* Excellent communication, interpersonal and organizational skills.

* Preparation and presentation skills for letter, presentations and reports.

* Ability to work in a fast-paced international environment.

This is a great opportunity to start asap on an initial 3-month contract + extensions.


Salary: Depending on experience - 50-60K + meal vouchers
