Your Role:
As an Administrative (PMO) Support Specialist, you will provide essential support across project resourcing, financial management, risk and governance coordination, and communications. You will be the go-to resource for project managers, ensuring smooth operations and adherence to project processes.
Key Responsibilities:
General Administration:
* Manage project management tools (e.g., Planview) and maintain project documentation.
* Coordinate timewriting, monthly reporting, and project invoicing activities.
* Schedule meetings, capture minutes and action items, and provide follow-up support.
* Support internal and external audits as needed.
* Assist project managers with project initiation and maintenance activities.
Resource Management:
* Facilitate onboarding processes for new team members, particularly external resources.
* Monitor and manage resource allocation and project capacity planning.
* Coordinate staffing supply and demand across projects.
Cost Management:
* Deliver regular financial tracking reports to finance teams.
* Manage purchase orders, invoices, and track project budgets.
Communication & Reporting:
* Prepare portfolio-level communications and reporting materials.
* Liaise with both internal stakeholders and key client contacts.
* Help define and promote project management standards and best practices.
* Support project adherence to governance and compliance processes.
Required Qualifications:
* 0–2 years of experience in a PMO, administrative, or project support role.
* Excellent verbal and written communication skills for working with internal and external stakeholders.
* Proficient in MS Office tools (Excel, PowerPoint, Word, Outlook) and Power BI.
* Basic experience with project planning and document management tools (e.g., Alfresco).
* Strong organizational skills with attention to detail.
* Ability to work independently with minimal supervision in a fast-paced environment.
* Positive attitude, proactive mindset, and strong work ethic.
* Capable of multitasking and problem-solving under pressure.
