Role Description
TSL is seeking a highly organized Document Controller to join our growing team in Belgium. The ideal candidate will have experience managing documentation for large-scale construction projects, such as data centers, manufacturing facilities, and logistics warehouses, ensuring that all project documentation are accurate, up-to-date, and compliant with internal and client standards.
You will play a critical role in maintaining document integrity, accessibility, and security, supporting Project Managers, Site Engineers, Design Managers, Subcontractors, and clients throughout the project lifecycle.
Key Responsibilities
Document Management and Control
* Develop and monitor deadlines for drawings, specifications, and other project documents.
* Ensure all submissions, reviews, and approvals are completed within set deadlines.
* Exercise strict version control to track all document revisions and updates.
* Organize and maintain a structured document storage system for efficient retrieval.
* Implement document security measures to prevent unauthorized access and ensure recovery in case of physical or digital loss.
* Archive and dispose of documents in compliance with company policies and client requirements.
Project Coordination and Reporting
* Track and report on the status of project documentation to ensure timely actions and compliance with schedules.
* Generate regular document control reports, including submission logs, transmittals, and review cycles.
* Coordinate with project stakeholders such as Project Managers, Site Engineers, Design Managers, Subcontractors, and clients, to ensure document accuracy and completeness.
* Manage correspondence flow, ensuring all communications are properly logged, distributed, and filed.
Oversight of Document Processes
* Control the creation, review, and approval of project documents, ensuring adherence to company and client standards.
* Support project teams in maintaining technical, commercial, and contractual documents.
* Ensure compliance with industry standards and best practices for document management, particularly for large-scale construction projects.
Qualifications, Skills, and Experience
Proven Experience
* Minimum of 3–5 years’ experience as a Document Controller in large construction projects, ideally in data centers, manufacturing, or logistics facilities.
* Experience with multi-disciplinary teams and large-scale project documentation.
Technical Skills
* Strong proficiency with document control and project management software such as:
* Autodesk Construction Cloud (ACC)
* Aconex
* SharePoint / Microsoft Teams
* Conject
* Procore
* ProjectWise
* Autodesk BIM 360
* PMWeb
* Familiarity with standard office software: MS Word, Excel, Outlook, and Adobe PDF management.
Personal Skills
* Exceptional attention to detail and organizational abilities.
* Strong understanding of document control processes, workflows, and quality standards.
* Effective communicator with the ability to collaborate across teams and stakeholders.
* Ability to handle sensitive and confidential information with discretion.
* Proactive and solution-oriented approach to document challenges.
Education
* Diploma or degree in Construction Management, Civil Engineering, Project Management, or related field preferred.
* Certification in Document Control or Records Management is a plus.
Location Requirement
* Ideally based in or near Mons, Belgium, or within a reasonable commuting distance.
