Dministrative Assistant (Junior Profile) – BrusselsAbout the PositionAn international association based in Brussels is currently looking for a Junior Administrative Assistant to join a small team. The role involves working closely in a duo and requires a calm, organized, and flexible personality, comfortable with multitasking and switching between different types of tasks throughout the day.English is the main working language (C1 level required), as all daily interactions take place in English. French fluency is essential, and German is considered a strong asset.The office is easily accessible by tram or car .Key ResponsibilitiesThe Administrative Assistant will be the first point of contact for callers and visitors and will support the smooth day-to-day operations of the Brussels office.The successful candidate will report to the Senior Officer and the Secretary General .Main duties include:Handling incoming telephone calls and coordinating messagesWelcoming visitors and managing meeting roomsProviding administrative and organizational support to the Senior Officer and Secretary GeneralDay-to-day office management (liaising with suppliers, managing incoming mail and postal services, maintaining office and food supplies, coordinating office equipment and workspace needs)Administrative and basic financial tasks (filing invoices, preparing payments)Booking travel arrangements, filing documents, and updating contact databasesProviding logistical and administrative support for internal and external meetings and eventsSupporting international colleagues with meeting organization in BrusselsUpdating and managing the websiteManaging office supplies, courier services, catering, cleaning services, etc.Liaising with IT service providers, designers, printers, translators, and other external partnersManaging membership feesAssisting with the preparation of the annual General AssemblyTaking minutes during Committee and Working Group meetingsPerforming other related administrative duties as requiredProfile & RequirementsEducation & ExperienceAt least 2 years of relevant experience in an administrative support roleSecretarial studies are an assetSkills & CompetenciesFluent in English and French (English is the main working language)German or other languages are a plusExcellent communication and organizational skillsStrong computer skills (MS Office, databases, etc.)Comfortable with multitasking and managing prioritiesDetail-oriented and able to work to deadlinesFlexible, adaptable, and polyvalentCalm, composed personality (not overly stressed or nervous)Basic accounting knowledgeWhat We OfferA permanent contract within a leading international associationA varied and challenging role in a small and collaborative teamSalary: €2,800 gross/month, negotiable depending on experience and skillsAdditional fringe benefits
