The HR Data Specialist performs a variety of day-to-day HR data maintenance activities ensuring data integrity and quality. He/she designs, implements and improves processes within his/her own scope and handles technical issues in collaboration with the respective IT Team members.
Key Responsibilities
1. HR Data Management & Maintenance
* Core Data Maintenance: Manage and update employee life-cycle data in the global HRIS (SuccessFactors), including new hires, international transfers, expatriations, and organizational changes.
* Mass Data Operations: Perform large-scale data updates, imports, and exports. Conduct regular data clean-ups to ensure high data integrity across the system.
* Request Management: Handle data change requests coming through the HR ticketing system (e.g., Neocase), ensuring quick resolution within agreed timelines (SLAs).
2. Data Quality & Reporting
* Quality Assurance: Monitor data accuracy, identify discrepancies, and investigate the root causes of data errors.
* Reporting: Create and deliver weekly or monthly reports on data quality trends to support HR governance teams.
* Support: Act as the first point of contact for HR colleagues regarding data issues, helping them resolve complex cases.
3. Process Improvement & Projects
* Process Optimization: Identify opportunities to automate or streamline administrative tasks and document these processes for the team.
* System Evolution: Collaborate with IT teams to implement system updates, define requirements, and perform User Acceptance Testing (UAT).
* Training: Provide guidance and training to other HR users (local and global) to ensure they input data correctly and understand the processes.
Education & languages:
* Education: Bachelor's degree in Human Resources, Business Administration, or a related field.
* Background: Previous experience in HR Operations, HR Data Administration, or a similar back-office role.
* English: mandatory
Technical Skills (Hard Skills)
* HRIS Expertise: Strong proficiency in HR Information Systems is required. Experience with SAP SuccessFactors is highly preferred. Familiarity with HR Ticketing tools (e.g., Neocase or ServiceNow) is a plus.
* Data Proficiency: Advanced command of Microsoft Office, especially Excel (managing large datasets, VLOOKUPs, pivot tables).
* Process Knowledge: Solid understanding of HR operational processes, data standards, and compliance.
Soft Skills
* Detail-Oriented: rigorous approach to data entry and maintenance; ability to manage risks and ensure high data quality.
* Analytical Mindset: Capable of diagnosing data discrepancies, investigating root causes, and solving complex problem
