About General Manager Office

We are in charge of the office maintenance, administration and daily operation of our offices and organizations in Belgium. With the fast growing of our business, we are planning to increase our scale in personnel and spaces. Our target is to provide a good working as well as living environment to our colleagues. We are in search of talents that would like to support our colleagues in this dynamic electric journey.

About the role:

Office Management is responsible for overseeing the management, maintenance, and optimization of all the physical assets and office facilities. Key responsibilities include inventory management, tracking assets lifecycle, and coordinating with procurement and finance department. You also develop policies for asset utilization, manage budgets related and ensure compliance with company and regulatory standards.

This position also serves as an assistant to the Belgian Country Manager, responsible for communication with the Benelux team and the headquarters (Base in China).

Main duties and responsibilities:

* Assistant work: Fulfill tasks assigned by the Country Manager. Communicate and coordinate with headquarters and the Benelux team.

* Team Collaboration: Coordinate with IT, HR, finance, and procurement teams to support organizational goals related to office management.

* Fleet asset management: Coordinate the fleet management including pool vehicles

* Budget Management: Develop and manage budgets related to office assets, ensuring cost efficiency and compliance with organizational policies.

* Policy Development: Create and implement policies for asset utilization, storage, and disposal to adhere to compliance standards.

* Asset Inventory Management: Maintain an accurate and up-to-date inventory of all office assets including furniture, equipment, IT hardware, and supplies.

* Asset Lifecycle Management: Track the lifecycle of assets from acquisition to disposal. Plan for maintenance, upgrades, and timely replacement.

* Reporting & Documentation: Prepare reports on asset status, maintenance activities, and budget utilization for senior management.

Skills, Qualifications, and Experience Required:

* Bachelor’s degree in Facilities Management, Business Administration, or related field. 3- 5 years of relevant experience;

* Proven experience in asset management, facilities management, or office administration;

* Strong organizational and project management skills;

* Proficiency in asset management software and MS Office Suite;

* Strong communication and interpersonal skills;

* Problem-solving skills and attention to detail;

* Exceptional communication skills, verbal and written;

* Excellent in English, working level of Chinese would be a strong asset. Dutch or French language is a plus also;

* Able to multi-task, aim to target and can work under pressure.
