About the Position
We are looking for a motivated and detail-oriented Personal Assistant to support an Employment Law team based in Brussels. You will join a dynamic, collaborative and multicultural environment where professionalism, discretion and team spirit are highly valued.
Profile
* Experience as a personal assistant, preferably in a law firm or professional services environment, is a strong asset.
* Belgian higher education degree in administration or equivalent training.
* French-speaking, with excellent command of Dutch and English.
* Strong analytical skills and a creative, solution-oriented mindset.
* Ability to work accurately, rigorously and autonomously.
* Enthusiastic, proactive and a strong team player.
Main Responsibilities
Administrative & File Management
* Handle general file administration and client contact follow-up.
* Create, update and monitor client files and contact databases.
* Maintain an accurate invoicing database.
* Digitalise, close and archive files according to internal procedures.
* Promote efficient use of digital tools within the team.
Support to Partners and Associates
* Assist partners and associates with day-to-day tasks.
* Manage calendars, track to-dos, send reminders and ensure deadlines are met.
* Organise travel arrangements, bookings and conference/event registrations.
* Process incoming and outgoing mail (collection, scanning, identification, renaming, etc.).
Document Drafting & Coordination
* Draft, revise and translate various documents (engagement letters, submissions, invoicing emails, letters to courts...).
* Conduct research and prepare concise summaries.
* Ensure high-quality layout and formatting (Word, PowerPoint, Acrobat Reader).
Internal Communication & Organisation
* Act as the main point of contact for the team.
* Handle incoming calls and emails, ensure proper follow-up and dispatch requests to colleagues.
* Organise meetings, team lunches and internal events.
