We are seeking a motivated and detail-oriented Institutional Investors Onboarding Officer to join our Client &Product Solutions Team ( CPS) .
This role is crucial in ensuring the smooth onboarding of our clients, managing Know Your Customer (KYC) processes, providing exceptional client service, and handling regular reporting requests.
We look for someone with previous experience in managing client (Limited Partners) onboarding processes and conducting KYC checks.
Experience in the investment management or private equity sector. Familiarity with CRM systems and client onboarding platforms.
The ideal candidate will have excellent communication skills, a client-centric mindset, and the ability to manage multiple tasks efficiently.
Primary responsibilities will include:
Client Onboarding & KYC:
* Manage the end-to-end client onboarding process, ensuring all required documentation is collected and verified in a timely manner.
* Conduct thorough KYC and due diligence checks in compliance with regulatory requirements and in collaboration with a third-party administrator.
* Guide new investors through the onboarding process, ensuring a smooth and efficient experience.
* Maintain accurate and up-to-date records of client information in the relevant client management system (Domos, CRM, Central Admin).
* Further develop the onboarding module of our investor platform in link with new Funds launch.
* Liaise with internal departments to resolve any onboarding issues promptly.
Client Service:
* Provide ongoing support to investors and serve as the primary point of contact for regular client reporting requests, addressing inquiries and providing timely and accurate information (cash flow projections, contact update information, facilitate access to capital account statements, capital call & notice distributions, LP reports, data maintenance etc.).
* Coordinate with internal teams to ensure client requests are met effectively and efficiently to enhance the overall client experience.
* Supporting the wider team running core due diligence requests.
Reporting & Communication:
* Assist in the preparation and distribution of investor communications.
* Assist with regular and ad-hoc reports to clients (such as the ones listed above).
* Ensure the accuracy and timeliness of all client communications.
Process Improvement:
* Identify opportunities to streamline and enhance onboarding, KYC, and client service processes.
* Conduct regular reviews of existing processes, seeking feedback from other teams to identify areas for enhancement.
* Implement best practices and contribute to the development of new procedures and policies.
Qualifications
* Bachelor's degree in Finance, Business, or a related field.
* Proven ability to work with client-facing teams and directly with investors.
* Strong understanding of KYC requirements and regulatory compliance.
* Excellent communication and interpersonal skills; flawless written and verbal English language skills.
* Native English speaker or bilingual, and fluent in one other foreign language.
* Strong organisational skills; ability to manage multiple tasks simultaneously in a fast-paced environment.
* A meticulous attention to detail; ability to document workflows, policies, and procedures.
* Proactive, motivated self-starter, results-oriented; creative approach to problem-solving.
* Ability to formulate and implement solutions and respond to inquiries with minimal guidance, structure, and supervision.
* Strong team orientation.
* Experience participating in moderate to large-scale projects.
* Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and client management systems.
