Key Responsibilities:
1. Support Team Leader and Provide Backup
* Act as a backup to the team leader for the building management team.
* Assist in planning, organizing, monitoring, and adjusting facility tasks, including those related to registered reports.
* Provide input on building management-related questions and technical advice.
* Develop and improve working methods using IWMS system tools.
* Ensure smooth functioning of the team and continuity in the absence of the team leader, while keeping the team operational and supported.
2. Support for Large Construction Projects
* Provide overarching support to internal and external building managers overseeing major projects.
* Plan, organize, monitor, and adjust large construction projects while ensuring coordination with internal customers and support services.
* Maintain compliance with quality assurance procedures and performance measurement standards, and contribute to their design as necessary.
* Utilize tools like the Facility Management Information System (IWMS) and PMO tools to:
* Ensure databases are updated.
* Support budget preparation and project follow-up.
* Foster interaction between departments.
* Collaborate closely with internal employees and external service providers to oversee project coordination.
3. Support the Implementation of the New IWMS System
* Play a pivotal role in setting up a new IWMS system (2025/2026) through market consultations, ensuring sufficient GIS integration and energy management integration.
* Guide the external service provider to align the new system with Client’s existing process flows.
* Lead the development and rollout of new process flows when required.
4. Responsible for IWMS and Buildings Helpdesk
* Organize, roll out, and manage the functioning of the IWMS system supporting the building team.
* Supervise and ensure effective management of the buildings helpdesk crew.
* Enhance IWMS system utilization to streamline helpdesk tasks and workflows.
* Ensure data quality assurance and updates within the IWMS system.
* Establish links between IWMS and other data management systems (e.g., Oracle, iAsset, Terra, GIS).
* Offer expertise in data migration and system configuration to ensure efficient transitions.
Skills and Qualifications:
* Experience in IWMS system setup and knowledge of GIS integration (mandatory).
* Proficiency in developing and improving process flows and ensuring data migration between systems.
* Strong coordination and leadership skills to manage teams and projects effectively.
* Familiarity with tools like PMO and IWMS for project management and reporting.
* Sound understanding of quality assurance and performance measurement procedures.
Skills and Experience Required
Experience in IWMS Setup:
Demonstrable experience in setting up IWMS systems is mandatory.
A performance certificate confirming proper execution in the past, signed by previous contractors, must be provided.
Public Procurement Legislation:
Knowledge and application of public procurement legislation are positively evaluated.
IT Knowledge and Data Management:
Expertise in IT systems and data management is required.
Water-related Government Experience:
Familiarity with government practices related to water management is necessary.
Managerial/Management Experience:
A minimum of 10 years of experience in a managerial or management position is essential.
Demonstrable entrepreneurship is valued positively.
Knowledge of Public Procurement Legislation:
Proven understanding of public procurement legislation.
