As part of our continued growth and in anticipation of onboarding new clients, Novagraaf is looking to strengthen its Trade Mark team in Belgium (Ghent or Brussels) with an Experienced Trade Mark Paralegal. In this role, you will work closely with Trade Mark Consultants to manage and develop client portfolios, providing high-level administrative and procedural support across a broad range of trade mark matters. This position offers significant autonomy, variety and responsibility, as well as a clear career path toward increased seniority and ownership. Depending on your level of experience, you will progressively take full ownership on files, correspondence with clients and international agents, allowing consultants to focus on strategic advisory work while relying on your growing expertise. You will be responsible for: Managing trade mark portfolios and maintaining accurate, up‑to‑date records in internal databases Maintaining full oversight of portfolios and proactively flagging risks, deadlines and next steps Preparing and filing trade mark applications, renewals and recordals Preparing and handling correspondence, emails and instructions to and from clients and foreign agents and IP offices Preparing draft agreements and documents for consultants (e.g. procedural letters, instructions, standard undertakings) Supporting invoicing, reporting and portfolio reviews Drafting and responding to office actions, depending on experience and confidence level Providing procedural and “light” legal input to consultants and supporting them on day‑to‑day matters The perfect match: You already have a solid experience in trade mark administration and paralegal work and you enjoy working collaboratively within a team and contributing to a supportive working environment Proven ability to prepare correspondence and documents for consultants autonomously and with a minimum of supervision Confidence in handling international portfolios and liaising with agents and clients Excellent command of the English & Dutch, both spoken and written. Knowledge of French of advantage.
