* The Role in a snapshot > Provide a full range of operational and administrative services to support the management of an international industry association in the digital payments sector, based in Brussels (Belgium). The role involves delivering comprehensive administrative and operational support to ensure the smooth and timely functioning of the association. Responsibilities include general administration, document management, organisation and support of virtual and in-person meetings, logistical coordination, management of public consultations, project coordination, and support to technical working groups
* Main Tasks > 1) Organise, support, and follow up on meetings of technical experts, working groups, committees, and governance bodies 2) Prepare meeting agendas, background documents, presentations, and formal minutes; track and follow up on action points and deadlines 3) Manage the annual meeting calendar and ensure the timely coordination of activities across working groups 4) Provide secretariat services to all association bodies, including the General Assembly, Board, committees, sub-groups, task forces, and expert teams 5) Coordinate and manage periodic public consultations, including document preparation, publication, and follow-up 6) Provide logistical support for meetings, including room bookings, virtual meeting setup, and catering arrangements 7) Ensure effective document and information management, including filing, archiving, circulation, and retrieval of correspondence and records, in line with internal policies 8) Support financial administration, including membership fee collection, invoice management, and preparation of regular reports for governance bodies
* Skills needed > 1) At least 3 years of relevant professional experience in an international environment 2) English oral and written proficiency at minimum B2 level (C1 preferred as this is the main working language). Knowledge of French and/or Italian is considered an asset 3) Advanced proficiency in Microsoft 365 tools, including strong hands-on experience with Word, good working knowledge of Outlook, Teams, PowerPoint, and Excel 4) Strong organisational and time-management skills 5) Capacity to work independently, set priorities, and manage multiple parallel tasks while meeting deadlines 6) Ability to interact in a polite, professional, and assertive manner with a diverse range of stakeholders 7) Strong proactivity and attention to details
* Start Date > January 15th 2026, for 12+36 extendable months > 2-weeks mentoring period for full assumption of service role responsibilities as of 1 February 2026
