1. You preferably have a master's degree, with excellent communication and management skills, or equivalent through experience.
2. You preferably have several years of relevant experience in a similar position.
3. You are an independent organizational administrative talent, and you work extremely accurately.
4. You are responsible for the marketing and image of the SpecX project and the Networked Systems team on the website and social media. You look for opportunities to improve communication about the project and for the team.
5. You have a natural drive to constantly improve organizational processes.
6. You have relevant experience in organizing meetings, events, preparation of presentations, writing minutes, and administrative follow-up of projects.
7. Your knowledge of English is excellent. Dutch is a plus.
8. Experience with SAP and IT tools is an advantage, but training can be provided.
9. Interest in Wireless Communication or Electrical Engineering is a plus, but not mandatory.
You support all kinds of tasks related to coordinating the EU projects. One important focus will be on the ITN project SpecX, which is a large project coordinated by KU Leuven, and this will take up about 50% of your time. We are looking for an employee with excellent motivation and experience in coordination, organization, administration and management. Beyond SpecX, you help in creating an overview of the many other projects the team is involved in, and help organizing the team to ensure timely and high-quality reporting.
You will work directly with the SpecX project staff and students in the Networked Systems group coordinated by Prof. dr. ir. Sofie Pollin.
This implies:
10. Follow-up of the SpecX project in relation to communication, deliverables, milestones, organization of meetings, preparation of presentations, attending teleconferences and making reports, keeping the website up-to-date, etc...
11. Provide support with the preparation of the SpecX reports (financial and technical).
12. Provide support with administrative follow-up of SpecX.
13. Provide support with the preparation of official documents.
14. Provide support by encouraging staff and students to update the website, provide overview of publication lists, publication reporting, timesheets and deliverables for the other EU projects.
15. Keep track of the lab purchases and maintain a structured overview of the team infrastructure.
16. Willingness to travel for the SpecX meetings planned twice/year, in Italy, Spain, Germany or Finland.
The Networked Systems - WAVECORE research group is part of the Department of Electrical Engineering (ESAT) and conducts research into hardware and software for telecommunications and wireless networks. In addition to fundamental research, attention is also paid to applications such as the next generation of mobile networks.
