In this key supporting role, you will coordinate office operations, streamline administrative processes, and assist the Medical, Marketing, and Sales departments. You will play an essential role in ensuring daily operations run smoothly, communication flows efficiently, and activities across teams are executed seamlessly.
Candidates with experience in the pharmaceutical industry are strongly preferred due to the sector's specific compliance, documentation, and process requirements.
You will provide broad support by managing daily administrative tasks, coordinating events and congresses, organizing internal and external meetings, handling logistics with external partners, arranging travel, preparing presentations and reports, and acting as a local support administrator for internal systems. You will also collaborate closely with the Office Manager in the Netherlands to ensure a consistent Benelux approach.
As the first point of contact for external partners and facility providers, you will manage general communications, contract routing, archiving, office supplies, and mail handling. In addition, you will support HR with onboarding/offboarding and assist Finance, Pharmaceutical Affairs, and Compliance teams with invoicing, product logistics, and transparency reporting.
Required Education & Experience
* Bachelor's degree or equivalent.
* Native proficiency in Dutch or French and fluent in English.
* Strong skills in Microsoft Office (Word, Excel, Outlook, PowerPoint, OneNote, Teams).
* Experience working with corporate systems and internal administrative tools.
* Minimum 5 years of experience as an assistant supporting multiple stakeholders.
* Experience in the pharmaceutical sector is a strong advantage.
* Background in a corporate or multinational environment is highly preferred.
