Office Manager – COCERAL-EUROMALT-UNISTOCK (part-time 3 days/week)
We are hiring an Office Manager to join the COCERAL – EUROMALT - UNISTOCK team.
These are three associations run by the same team. COCERAL is the European association for trade in cereals, oilseeds, rice, pulses, animal feed, olive oil, oils and fats, and Agro supply. EUROMALT represents and promotes the interests of the European malting industry at EU and international levels. UNISTOCK Europe is the European association of professional portside storekeepers for Agri bulk commodities. (
Scope of Role
. Management of the office: office supplies, negotiating and reviewing of supplier contracts, HR admin together with Acerta, general phone and email logs
. Organisation of meetings and events
. Administrative support to the team and organising their travel arrangements
. Maintaining interesting Contacts with EU commission, European Parliament, Member States Permanent Representations and Third-country missions to the EU
. Interact with members of the three associations and provide answers to their queries in close collaboration with the respective team colleagues
. Financials & IT: prepare invoices and all documents required by external accountants and auditors: be the contact person with external IT consultant for the smooth functioning of all hardware and software
. Communication: regular postings on Linkedin and other relevant social media, maintaining the news section of the websites as well as the social media
The profile we are looking for
Associations are generally not very known to the public but they are highly interesting work environments with international content and scope. Given the variety and complexity of the tasks we are looking for a minimum of 7 years of experience in a relevant office management role. You will be responsible for the smooth running of the office in the domains described above.
Furthermore, a good candidate needs to fulfil these additional requirements:
. Have excellent fluency in verbal and written English, good knowledge of French is a must
. Be autonomous, mentally agile and flexible, dare to take initiative
. Be strongly service minded with high levels of integrity and quality of work
. Be willing to acquire insight in and thorough knowledge of the activities of the three associations
. Have a good knowledge of MS Office (Powerpoint, Word, Excel)
