Administrative Assistant - Antwerp
Help ensure the smooth flow of global trade for a world leader in materials technology and recycling. We're looking for a proactive Administrative Assistant to join our client's Customs & Trade Compliance team in Antwerp providing essential support for import and export processes.
Location: Hoboken, Belgium (3 days/week onsite; 100% onsite during first month)
Start Date: ASAP
Languages: Fluent in English; Polish is a strong plus
Contract Type: Full-time assignment
Responsibilities
* Assist with the preparation of customs documentation and declarations.
* Liaise with external customs brokers, freight forwarders, and internal departments.
* Ensure all required documents are available, accurate, and submitted on time.
* Monitor and track shipment status, providing updates to relevant stakeholders.
* Maintain and update internal databases and lists.
* Handle general administrative tasks, including correspondence and email triage.
Requirements
* Proven experience in an administrative support role, preferably within an international setting.
* Strong proficiency in Microsoft Office (Excel, SharePoint, Outlook).
* Experience with administrative processes in a logistics or customs-related context is a plus, but not mandatory.
* Excellent organizational and time management skills.
* A proactive, accurate, and structured working style.
* Ability to work both independently and as part of a team.
