You will work closely together with all project managers on their administrative, scheduling, and financial needs for their projects. The supported tasks are regrouped within 3 axes: Resource Management, Cost Management, and Communication & Reporting.Manage the overall project management tooling (Planview)Coordinate with the projects, the time writing, and monthly reporting and invoicingProvide support to the full project team at meetings, which could include scheduling meetings, taking minutes, recording actions, and performing follow-upSupport internal and external audits, as requiredAssist project managers in project start-up and maintenanceOverall, the go-to person for project managers when they have questions, need help or work completed.Resource ManagementProviding necessary access to on-boarded colleagues, mainly externalsMonitor and follow up on resource capacity in current and upcoming projectsHandle the supply-demand of projectsCost ManagementProvide regular reports to the finance departmentOversee tracking, review, and creation of all purchase orders and invoicesTrack project-level financialsCommunication & ReportingPrepare and coordinate portfolio-level communicationsLiaise with internal stakeholders as well as key client contacts.Assist the PMO Manager in defining, overseeing, and communicating project management processes, standards, and governanceAssure project adherence to portfolio-level governance processes and reviewsCoordinate with the project team leads to develop best-practice project processes and standardsProvide input on required changes to the PMO based on the company strategy and needsRequired qualifications to be successful in this role:Entry level to up to 2 years of relevant experience performing in a similar roleThis is a highly interactive role, and as such, you will need excellent communication skills, both written and verbal, and the ability to deal with both internal and external stakeholders.Solid MS Office abilities to include Excel, MS PowerPoint, MS Outlook, MS Word, and Power BI.Basic Expertise in creating and maintaining project plansExperience using Alfresco and the ability to provide basic user-level administration support to usersMature, teachable, self-motivated with a positive attitude and good work ethic, the successful candidate will be a team player who is proactiveShould be capable of working on their own with little oversight and managementMust be detail-oriented while maintaining and consistently displaying multi-tasking abilities in a busy, professional environment on a client site, and be able to exhibit problem-solving abilitiesExcellent organization skills coupled with excellent interpersonal skillsYou may be required to be flexible between PMO areas in order to support workload spikes in workloadSkills:AlfrescoCost managementMicrosoft OfficeProject MonitoringResource Management
