What you'll do
As a PMO (Project Management Officer), you'll be a key contributor ensuring that projects across the organization run smoothly, are aligned with strategic objectives, and follow consistent process and governance. Your main responsibilities will include:
* Establishing, maintaining, and improving project management methodologies, standards, tools, and templates to ensure consistency and best practices across projects.
* Monitoring the project portfolio: tracking status of ongoing and upcoming projects, aligning with business goals, identifying risks, dependencies, and reporting to leadership.
* Resource planning & coordination: help allocate resources (people, time, budget) across projects, foresee constraints and bottlenecks, and assist Project Managers in balancing workloads.
* Governance & reporting: prepare regular dashboards / status reports / milestone & KPI tracking, issue & risk registers, highlight performance, issues and escalation when needed.
* Supporting budgeting / financial tracking for projects where relevant (budget vs actuals, forecasts).
* Ensuring project documentation is collected, standardized, stored, and accessible (plans, lessons learned, decisions, action logs).
* Coordinating and facilitating stakeholder communication: ensuring stakeholders are informed, aligned, and expectations managed.
* Continuous improvement: identify process inefficiencies, suggest improvements, help implement them; help with trainings or workshops on PM practices.
What we're looking for
We're searching for someone who checks most of these boxes
Technical / Hard skills:
* Degree in Business, Engineering, Information Systems or equivalent experience.
* Proven experience in a PMO role or project coordination / project management, ideally in a multi-project environment.
* Familiarity with PM frameworks and methodologies (e.g. PMBOK, Prince2, Agile / hybrid).
* Strong capabilities in Excel, PowerPoint, and use of PM / reporting tools (e.g., MS Project, Smartsheet, Jira, Confluence or equivalent).
* Knowledge of BI tool for dashboard and report development (Power BI, Tableau, Qlik...)
* Experience with status reporting, risk & issue tracking, milestones, KPIs.
* Financial awareness: budget tracking / forecasting is a plus.
Soft skills:
* Excellent organizational skills, attention to detail, ability to manage multiple parallel tasks.
* Strong communication skills — writing and speaking — in a professional and clear manner.
* Stakeholder management: comfortable interacting with various levels (project team, business owners, senior leadership).
* Proactiveness: you spot problems, anticipate risks, suggest improvements rather than just reacting.
* Adaptability & curiosity: projects change, environments vary — you roll with that and learn on the go.
Languages:
* French: native or fluent (both written & spoken)
* Dutch: fluent (both written & spoken)
* English: fluent (both written & spoken)
