Administrative Assistant Role Description
This position involves working closely with the operations manager to oversee day-to-day operations in various areas, including human resources, finance, and event organization. As the primary contact for administrative inquiries, you will provide guidance on procedures, explore solutions, and coordinate with other services. You will also manage financial transactions, collaborate with the operation manager and center group leaders on recruitment processes, and maintain accurate and confidential employee records.
Responsibilities
* Provide administrative support to the operations manager and center group leaders.
* Manage day-to-day operations in human resources, finance, and event organization.
* Develop and implement administrative procedures and policies.
* Collaborate with HR officers at host institutions on employment, benefits, and other HR-related matters.
* Organize events, manage logistics, and coordinate venue bookings, catering, travel arrangements, and accommodations.
Requirements
* Hold a professional bachelor's degree in a relevant field or have equivalent experience.
* Demonstrate 3-5 years of experience in a similar position or show potential as a driven and eager-to-learn junior who can quickly adapt through self-study and training.
* Be proficient in MS Office Suite (Word, Excel, Outlook, PowerPoint) and familiar with HR and finance software, with knowledge of SAP and financial processes being an added value.
* Show exceptional organizational, management, and analytical skills, with attention to detail and a high level of accuracy.
* Demonstrate strong problem-solving skills, diplomacy, discretion, and a positive attitude, with excellent interpersonal and communication skills.
* Show ability to work independently and collaboratively in a team-oriented environment, with fluency in Dutch and English, both speaking and writing.
