FUNCTION:
As a Facility Coordinator, you will be part of the Facility & Indirect Procurement team and act as the central point of contact for all technical requests and facility-related questions within our organization.
You ensure a smooth and efficient handling of all requests coming from our pharmacies, offices, and logistics sites. In doing so, you work closely with suppliers, technicians, and internal stakeholders.
YOUR RESPONSIBILITIES:
Operational follow-up and coordination
* Follow up on technical requests (maintenance, repairs, utilities, safety, etc.).
* Coordinate interventions with suppliers and internal departments.
* Check completed work for quality, safety, and compliance.
* Monitor planning and budget in close collaboration with the Facility Manager.
Administrative and contractual follow-up
* Manage and update supplier data, maintenance contracts, and SLAs.
* Create and follow up purchase orders and invoicing in collaboration with Finance.
* Follow up on inspection reports (electricity, fire safety, elevators, HVAC, etc.).
* Report periodic KPIs and progress to management.
Project support
* Support facility-related projects such as renovations, relocations, automation, energy management, and sustainability initiatives.
* Contribute to the implementation of a new ticketing system for technical requests (planned for autumn 2025).
* Test and optimize processes within this system and support colleagues in its use.
Safety and compliance
* Ensure compliance with safety regulations and legal requirements.
* Collaborate with external inspection bodies and internal prevention advisors.
YOUR PROFILE:
* You are bilingual (Dutch/French) and can express yourself professionally in both languages, verbally and in writing.
* You are well organized, customer-oriented, and solution-driven.
* You have a strong technical interest (construction, HVAC, electricity, general installations).
* You communicate clearly and professionally with internal and external partners.
* You have basic knowledge of Office 365 (Excel, Outlook, SharePoint) and preferably experience with ticketing tools or ERP systems.
* You are able to work independently but also function well within a team.
* Initial experience in facility management, technical dispatching, or maintenance coordination is an asset, but not a requirement.
* More importantly, you are eager to learn and have a strong affinity with service management.
Job Types: Full-time, Permanent contract
Pay: €3.500,00 - €5.000,00 per month
