Role Overview
Clockwise provide event services within the Louise and Hotel Wielemans buildings. Through the Sales and Events Manager (supported by our wider team) we bring event expertise and income to the building on behalf of our client - the landlord, Patrizia.
We work with a range of suppliers and partners to ensure the sales planning and operational process runs to an agreed standard. Managing the event spaces on behalf of the landlord, we operate an extension of their team and provide the highest levels of service to ensure the event experience is in keeping with the building premium status.
The Sales & Events Manager is responsible for driving revenue through the sale and successful delivery of events, conferences and meetings at The Louise and Hotel Wielemans (The Louise BV). This role combines proactive sales and hands-on event management to ensure high utilisation, excellent client experience, and strong financial performance.
The role is the main point of contact for all event enquiries, from first contact through to invoicing, overseeing the running of the event and post-event follow-up, while also developing the spaces' visibility and commercial performance through marketing, partnerships, and business development.
Key Responsibilities
Sales, Marketing & Business Development
The role will lead all commercial activity related to events and venue hire, including:
* Managing all incoming event and meeting enquiries and converting them into confirmed bookings using sales management tools (HubSpot) to ensure accurate capture of data/reporting.
* Conducting venue tours for prospective customers and third parties
* Preparing tailored proposals and quotes via sales management system
* Negotiating and closing deals using pricing approval process
* Contributing to and executing the venue's marketing and revenue strategy for events
* Utilising social media channels to promote events and venue hire using brand guidelines
* Sourcing new business through networking, partnerships, and trade fairs
* Building relationships with agencies, corporates, and local businesses
* Producing and presenting regular sales and conversion reports
Event Sales Administration & Finance
The role will ensure all commercial processes are accurate and well managed, including:
* Issuing contracts, invoices, and following up on payments
* Managing accounts related to events and venue hire
* Tracking revenue, pipeline, and performance
* Ensuring all bookings are correctly logged and billed
* Updating CRM/sales pipeline
* Ensuring contract terms are accurate and consistently applied, including deposits, cancellations, liability, and supplier recharges
* Coordinating contract review and approvals with internal stakeholders where required
* Qualify, price and negotiate space hire using agreed commercial rules (minimum hire, minimum spend, discount limits and required add-ons), ensuring every booking meets target return
Event Planning & Operations
The role will oversee the full lifecycle of every event hosted at the venue, including:
* Managing the venue diary and availability
* Coordinating event schedules with internal teams and building stakeholders
* Communicating with clients, local teams, and external partners
* Organising event partnerships (caterers, furniture hire, AV suppliers, etc.)
* Managing third party staffing teams
* Coordinating room set-ups, access, and logistics and derigs
* Managing meeting room configurations and event layouts
* Conducting on-the-day venue checks to ensure standards are met
* Ensuring event risk assessments are completed and approved in line with site and legal requirements
* Ensuring compliance requirements are met for each event, including capacity, licensing, permits, health and safety, and building rules
* Coordinating required documentation from clients and suppliers (insurance certificates, method statements, RAMS where applicable)
Client Experience & Feedback
The role will ensure a high-quality experience for every client and guest by:
* Acting as the main point of contact before, during, and after events
* Collecting and managing client feedback
* Using feedback to improve service, processes, and sales performance
Group Alignment and Reporting
* Aligning local event sales activity with group ancillary revenue strategy and commercial standards
* Following agreed group reporting cadence and KPI definitions for pipeline, conversion, utilisation and revenue performance
* Sharing performance insights, learnings and best practice to support group-wide improvements
Key Skills & Profile
* Strong sales and negotiation skills
* Experience in hospitality, events, coworking, or venue hire
* Highly organised with strong attention to detail
* Confident communicator with clients and partners
* Commercially minded and results-driven
* Comfortable managing multiple events and deadlines
* Able to work both strategically and hands-on on the day of events
* Fluent in English with the addition of French and/or Dutch
